Attendee Experience

Requirements

Skype Meetings App offers a simplified browser experience including one-click join for users of Internet Explorer. The App has to be downloaded once only. User help can be found here https://aka.ms/smahelp

Supported platforms:

The Skype Meetings App runs as an app on computers using Windows 10, Windows 8.1, Windows 8, Windows 7, with 32- and 64-bit Internet Explorer 11 or later installed.

The app also runs on macOS 10.10 or later operating systems with no specific browser dependency.

Supported browsers:

Edge, Internet Explorer 11, Firefox, Safari, Chrome

Mobile phone and table:

This is a Skype for Business solution for webinars and cannot be compared to 1:1 Skype for Business calls. For this reason you need to join with Meetings App. You shall not join webinars with the mobile client that may be installed on your mobile phone or tablet. Thank you for your understanding.

Network requirements:

If the user is on a network not configured as described in the User Guide http://www.meets4b.com/support/guides/ , many app features may or may not work and they may not be able to connect to the meeting at all.

Troubleshoot Log In

This is a Skype for Business solution for webinars and cannot be compared to 1:1 Skype for Business calls. For this reason you need to join with Meetings App. You shall not join webinars with the mobile client that may be installed on your mobile phone or tablet. Thank you for your understanding.

STEP 1: RECEIVE A REGISTRATION CONFIRMATION EMAIL

After successfully registering to an event, a confirmation email will be sent to the email address that you used to register for the event from support@meets4b.com

Make sure that you remember which email address you used when registering, it can be your company or personal email address.

Your registered email address will  receive a confirmation email with a link to join the meeting.

STEP 2: ON THE DAY OF THE EVENT

Open your Registration Confirmation Email and click on “Lobby Link” to join the meeting.

STEP 3: THE VIRTUAL LOBBY

Upon clicking the “Lobby Link”, you will automatically be directed to the MeetS4B lobby. Here you will find a countdown and best practices. A green “join meeting” button will appear 30 minutes before event start.

It is advisable to go through the Best Practices written on this page, these pointers make sure that you have a pleasant meeting experience.

STEP 4: GENERAL ADVICE

Click the “Join Meeting” button, to be automatically redirected to your Meeting page.

You might see some of these pop-ups:

Internet Explorer Security:

Click on “Allow” as pictured above.

MeetS4B Window:

This MeetS4B window states support links that you can use in case of difficulties.

If you should receive a message asking you to look for an app in the store, simply go back to the main window and click on “Let us help troubleshoot”. You will then be able to continue installing the Meetings App.

Windows Security Window:

Important: Do not fill out the first window that you see on your screen, please “X” out of this window.

The next thing you see should look like this:

Type in the name that you would like to be identified with during the meeting in the “User name” field pictured above.

You may also decide to type in “Guest” or ” Anonymous” should you want to simply participate without being identified.

Once you have filled out the required field, click on “Join”.

CONGRATULATIONS!!

You have now successfully logged in to your Meeting!

Troubleshoot Audio

Trouble with the audio? Here are some troubleshooting tips:

 

Check your settings in the Meetings App:

Make sure your headset is set as your default audio device by clicking on the telephone icon.

In the Meetings App you have to turn up the volume separately to the Windows settings.

Check your Windows settings:

Adjust the volume of the microphone in Windows by right-clicking the loudspeaker icon at the bottom right of your screen.

Check your microphone or headset:

You need a microphone or headset for the webinar. Make sure the device is not muted. Please check that the microphone is plugged in and that the batteries are charged. Also check for physical mute buttons on the headset.

Dial in with telephone:

If none of the above works, you can dial in with telephone. Please contact the support in the meeting or send an email to support@meets4b.com to receive the telephone number and conference ID of the meeting in question.

Troubleshoot Screen

Trouble with seeing the screen?

Follow the requirements. Please find some tips below:
  • Do you use a supported platform. e.g. Windows 7 or higher?
  • Do you use one of the mentioned browser, e.g. Internet Explorer 11?
    • Please rejoin the session and open in private browser using IE.
  • Have you checked your network configuration as per User Guide http://www.meets4b.com/support/guides/ ?
  • Have you checked your bandwith?
    • Our recommendation is at least 5Mbit down and upstream.
  • Is Active X Filtering turned off?
  • Is Java Script turned on?

Presenter Experience

General Advice

GENERAL ADVICE:

As a presenter in your meeting preparation is the key. Below are some simple steps that will set you on the right track for a successful meeting.

  • Please consider the requirements that you can find in this User Guide http://www.meets4b.com/support/guides/
  • Should you experience log in difficulties, please find the log in guide here http://www.meets4b.com/support/guides/
  • Be aware that a video conference presentation is not comparable to a 1:1 call. It takes a lot more network and system resources
  • Video streaming and screen sharing need a high amount of resources
  • Use a stable network connection, preferably hard wired (manually switch off Wi-Fi).
  • You can do a speed test at  www.speedtest.net
  • Check all the settings (ports etc.) as specified in the Login Presenter Guide .
  • Close all applications and any other computer programs running on the background that is unnecessary for the session.
  • Lower resolution is often better
    • Reduce to max 1080p
  • Needs less bandwidth on your internet link
  • Is often easier to read for the attendees
    • The monitor or the attendees could be smaller, a could be hard for them to see everything.
  • Video Encoding needs a lot of CPU und RAM.
    • 1080p needs about 100% of a CPU core.
    • 4K ? A lot lot lot more.
    • Are you running your demos from your local machine?
      • So they have to battle against the Skype client for the CPU time J.
  • Restart the computer and the Skype client before starting the meeting to fresh up everything.
  • Use LAN connection not Wi-Fi. It could be unstable.
  • Test your internet speed (e. g. www.speedtest.net). You should have at least 5Mb/s upstream for a good desktop sharing session.

 

 

Skype for Business Client

Skype for Business is part of the Office 365 suite of products. What’s Skype for Business?

You get the Skype for Business download from the Office 365 portal, and then install it on your computer.

These steps usually take 10-15 minutes to do. Choose from the instructions below.

Requirements for Using the Client

Option 1:

Install 64 bit edition of Skype for Business.
In this version there is no 2GB memory limit.
All Office applications need the same bitness.
The whole Office 365 suite needs to be switched to 64 bit.
All installed Office plugins need 64 bit support.

Option 2:

Stay on 32 bit BUT
Limit screen sharing to 2 active screens.
Each active screen should have a max resolution of Full HD 1080 p.
Screens that are used for sharing should not have different resolution and different scale.

Insider Group

You can choose to opt out (see screenshot) or you choose to join the MeetS4B online sessions with Meetings App in case you experience difficulties due to the non official version you may be using.

Meetings App

Skype for Business Meetings App

Skype for Business Meetings App offers a simplified browser experience including one-click join for users of Internet Explorer. The App has to be downloaded once only. User help can be found here https://aka.ms/smahelp

Some facts:
  • The Meetings App used is the Skype for Business Meetings App which is centrally managed by Microsoft.
  • All participants use the Meetings App to join MeetS4B trainings. This way an attendee can choose to join anonymously. Please do not share direct links with attendees. Please contact the support responsible for your training instead.
Presenting with Skype for Business Meetings App:
  • Max Power Point size is 30 MB or man upload time of maximum 10 minutes. If this is exceeded, the Power Point cannot be uploaded. Please feel free to contact your meeting support should this be the case. The meeting support will upload the Power Point for you.
  • Screensharing: If the Meetings App does not recognize your second monitor, please go to the display settings and change your main display to the other monitor while the Meetings App is running. Both screens should be selectable now.
  • Recording feature is not available in the Meetings App. However, your meeting support is taking care of that anyway.
Supported Meetings features

This table compares the Meetings features available to users of the Skype for Business client, Skype for Business Web App, Skype Meetings App, and Lync Web App. Lync Web App is listed for feature comparison purposes: a user would only be downloading and using Lync Web App if the meeting was hosted on a Lync 2013 server.

  1. The Skype for Business Web App browser plug-in requires a specific sharing plugin to use computer-based voice, video, sharing, and viewing of ongoing screen sharing and other features. A meeting attendee is given the option to install the sharing plug-in either when they join the meeting or when they initiate one of these features. On Windows 8, and Windows 8.1, the sharing plug-in can be installed only if you’re running Internet Explorer 10 or Internet Explorer 11 for the desktop. These features are not available with non-desktop versions of Internet Explorer 10 and 11.
  2. On supported Windows 7, Windows Server 2008 R2, and Macintosh operating systems, all features are available including computer-based voice, video, application viewing, application sharing, desktop viewing, and desktop sharing. To use these features, you must install a plug-in when prompted. Note that Mac OS X version 10.7 is no longer supported.
  3. Accessing the Web App from Chrome on Windows will launch a small program which loads the Web App in an embedded Internet Explorer frame. This program requires one of the supported versions of Internet Explorer be installed for the Web App to load properly.
  4.  Accessing the Web App from Chrome on Mac will launch a small program which loads the Web App in an embedded Safari frame. This program requires one of the supported versions of Safari be installed for the Web App to load properly.

  • Please consider that the meeting room will be open 30 minutes before scheduled event start.
  • Should you experience difficulties with the password, please follow the steps stated in the guide or contact your meeting support.
  • A support agent will be waiting for you in the meeting to help you with any kind of questions.
Option 1:

Skype for Business desktop client (with MeetS4B Presenter Credentials or with your company credentials):

  • Install 64 bit edition of Skype for Business
  • In this version there is no 2GB memory limit
  • All Office applications need the same bitness

Please check the audio device settings of your Skype for Business desktop client:

If you joined with Skype for Business Meetings App:
  • The Meetings App settings are independent from your Skype for Business desktop client settings.
  • Check the device settings in the Meetings App (you can find it by clicking on the telephone icon).
  • In the Meetings App you have to turn up the volume separately to the Windows settings.

  • Once you have clicked the phone icon, you will then see the devices:

  • Choose the icon that represents your headset.

 

Troubleshoot Screensharing

Screen sharing:

Using a second monitor in Meetings App:

If the Meetings App does not recognize your second monitor, please go to the display settings and change your main display to the other monitor while the Meetings App is running. Both screens should be selectable now.

Troubleshoot Power Point

If you joined with Skype for Business desktop client:
  • Maximum size of Power Point is 150MB
  • Maximum size of documents in the meeting is 250 MB
If you joined with Skype for Business Meetings App:
  • Maximum size of Power Point is 30 MB
  • Maximum upload time is 10 minutes

Should this not work, please send an email to support@meets4b.com indicating the time and title of your meeting and your meeting support will upload it for you.

If you are already in contact with your Meeting Room Operator, simply send over the presentation in a separate chat window from the Meeting Room and the Operator will make sure that the presentation is available when the meeting begins.

There is only one way to share a video so that the sound is available on the recording:

It is important that the video is added from a file and not linked externally. Please see screenshots below:

If you are unable to display anything correctly please check if  your webcam is plugged in correctly, also check if the web cam was installed properly. If unsure, uninstall and reinstall.
